CEO Message: Transformation Office Update, July 9, 2024

Hi everyone,
I want to give you all an update on the important early work of our new Transformation Office (TO), which is accelerating some of our priority areas to help us deliver excellence in care.

Recap: As I mentioned in my note introducing the department, the TO will act as a central unit to support large-scale system priorities and will initially be focused on five key workstreams:

  • Workforce Recruitment
  • Patient Medical Homes
  • Patient Registry
  • Medical School Learning Support
  • Organizational Capacity.

Progress Update:

Since its inception, the TO has been working hand-in-hand with various teams across Health PEI to ensure collective success. Key highlights include:

  • Onboarded Our First Permanent TO Staff Member: Our first permanent staff for the transformation office, Director Meghan Van Gaal, has started in her role and already has held interviews to hire project managers to support her team.

  • Established Architecture & Tools: Developed transformational governance structure, communications approach, and project management tools to support ongoing coordination of transformation efforts.

  • Mobilized Workstreams: Assembled workstream resources and teams, released an expression of interest to identify workstream leads, held kick-off meetings with each workstream to align on the current state, the desired future state and the strategy to tackle key challenges within each workstream.

  • Engaged with Leadership: Connected with members of the Executive Leadership Team (ELT) to better understand the mandates / specific functions within their portfolio to support in addressing capacity challenges and potential opportunities to optimize resources in the future.

Your contributions continue to be invaluable as we bring together the tools and resources needed to make an impact and align all the priority workstreams to support our valued staff in providing care and growing system capacity for Islanders.

Next Steps:

  • Refining Workstream Goals & Objectives: Workstreams will continue to work with various Health PEI teams to refine the scope, goals, and deliverables associated with each workstream to enable transparent monitoring of progress going forward.

  • Understand Intersections Between Operations and Transformation: The TO will be working with the ELT to detail where Transformation Workstreams intersect with each leader’s portfolio to ensure clarity and cohesion going forward.

  • Focusing on Unaffiliated Patients: The PMH and Patient Registry teams are digging in to explore how we can better support unaffiliated patients across the province and ultimately attach more Islanders to patient medical homes.

We are committed to ensuring a transparent and collaborative approach as we progress through the health system transformation. Through these efforts, we aim to refocus and drive meaningful system transformation to create a resilient, efficient, and innovative healthcare system that benefits both our committed professionals and the patients they serve.

I know that for many of you, this process is new. I’ll continue to share regular updates with the whole Health PEI team as we progress, and the TO team will continue to reach out to teams for information. I encourage you to take the opportunity wherever possible to engage with this process, as your input is crucial.
